Finance and Administration Officer

Theatre Témoin are looking to appoint a Finance and Administration Officer to oversee company financial administration, and to assist the executive team with other administrative tasks as needed. We are particularly looking for an organised individual who can work efficiently in a small team within the context of organisational growth, is fluent in Quickbooks or similar financial accounting software, and can prepare and update management budgets and budget reports. The role is approx 1 day per week, or 24 days over an initial 6-month period, with possibility to extend.

Key Information

Rate of pay: £120 per day.

 Reporting to: Artistic Director

 Location: Company is based in SE but operates nationally. Finance and Administration Officer will be working from home.

 Working hours: Approx. 1 day (7.5 hours) per week, or 24 days in a 6 month period. The company goes through periods of high and low delivery, and this role is best suited to someone who is able to spread days flexibly across the period to respond to varying degrees of delivery.

 Length of engagement: 6 months, with possibility to extend depending on future funding.

 Employment type: This is a self-employed position. You are responsible for paying any tax and NI contributions.

 Other: Finance and Administration Officer will be required to provide their own phone and laptop.

Key Roles

Finance, budgets & contracts

·       Working closely with Artistic Director, create and track annual and project budgets.

·       Monitor expenditure against budgets using Quickbooks, and forecast monthly or quarterly spend with the team.

·       Working with Artistic Director, maintain appropriate accounting records for the company, and prepare end of year accounts.

·       Produce financial reports for funders as required.

·       Produce and issue contracts for clients, contractors and staff using agreed templates as appropriate.

General 

·       Organise team meetings, set agenda and take minutes.

·       Organise quarterly board meetings, attend and take minutes

·       Create and distribute board paperwork including finance and funding reports and updates

·       Any other duties that could be reasonably expected to be carried out within the role.

Person Specification

Essential

•      At least 1 year of experience in financial administration.

•      Fluent in Quickbooks or similar accounting software.

•      The ability to work with a small team with sensitivity and flexibility.

•      The ability to manage multiple priorities and meet project timelines.

•      A positive, confident and enthusiastic attitude.

•      Excellent written and verbal communication skills

 Desirable

 •      Experience in working with mail merges

•      Experience in working with Wordpress and / or editing websites via a CMS.

•      Experience creating mailings with Mailchimp

•      A passion for theatre administration, and the willingness to grow into a larger role and take on more responsibility as the company scales up in the long-term.
